Cancel or make up a lesson

Rain, absent coach, public holiday: delete, make up or replace a lesson

Rain, a sick coach, a court not available, a forgotten public holiday: a group lesson can be deleted, made up on another date or given by a substitute. This is done in the group's lessons, on the booking chart or in Manage coaches' times. The head of the school takes care of it; the coach reports it to them.

These actions concern groups confirmed in the bookings. As long as a group is not confirmed, it has no lessons on the schedule yet.

1Cancel a lesson

In Manage groups, open the group (pencil or coach's name). In Group reservations, tick the cancelled lesson(s), then click Delete selected reservations. To cancel the same date in several groups (rain on a Wednesday afternoon), repeat this in each group.

The group's lessons, to tick in order to delete them.

Pupils registered for an upcoming lesson deleted in this way receive a “session cancelled” notification on their phone if they have enabled lesson notifications in the app. To inform everyone, also send an e-mail to the group's pupils (Messages module).

A lesson can also be deleted from the booking chart: click the lesson, then Delete reservation and confirm. The coach has the same button in the attendance panel of their account, with a confirmation.

A deleted lesson is deleted for the whole group, together with the attendance of the session. For a single absent pupil, untick them in the attendance panel: do not delete the lesson.

2Make up a lesson

In the same Modify group panel, Add lessons part, choose the court, the date (same start and end date for a single lesson), the time and the day, then click Add lessons. The pupils placed in the group are registered for the new lesson.

First check that the court is free on the booking chart: Add lessons does not check existing bookings, and a booking already on this slot would be replaced by the lesson.

Let the coach know: their schedule link and their .ics file show the group's usual times, not the make-up lessons.

3Have a coach replaced

In Lessons › Manage coaches' times, choose the period, then change the Teacher of the lesson concerned directly in the table. The substitute becomes the person in charge of that lesson:

  • they can take the roll call from their member account on the day of the lesson;
  • they are listed as the instructor of that lesson in the BDNS présences export;
  • the lesson counts in their hours when the salaries use the hours of the lessons schedule, and no longer in those of the usual coach.

See Teachers' schedule. To change the coach for the rest of the season, change the group's Coach 1 instead (Modify group).

The second coach of a group (Coach 2) cannot be changed lesson by lesson: the group's one always counts.

4Effect on the invoice

  • For the season: the price is a flat rate; a cancelled or made-up lesson does not change the invoice. Any gesture (discount, credit note) is made by hand in the Invoices module;
  • For each session: invoicing counts the group's lessons at the moment you click Invoice people in groups. A lesson deleted before is not invoiced; a lesson deleted after invoicing is not deducted automatically: correct the invoice or issue a credit note;
  • By presence: only attendance counts, at the time of Invoice according to presence.

5Current limits

  • no cancellation reason: if needed, write it in the lesson's Comment, in Manage coaches' times (before deleting it, or on the make-up lesson);
  • a deleted lesson disappears: it no longer appears in the attendance, in the Youth and Sport export or in the coach's hours;
  • the coach's schedule link and .ics file show neither cancellations, nor make-up lessons, nor replacements: let them know yourself;
  • no automatic credit note, neither for a cancelled lesson nor for a pupil who stops: see Changes during the season.
